Action Section

This section will describe each of the views used for selecting students and revising the office visit information. Click the “Action Hyperlinks” (area G - Figure 1) to select the different views.

Enter Visit View

The Entry View is the main view used throughout the day. This view provides the means to add new office visits. When a student arrives in the office select that student using the Student Selection drop down list. When the student is selected a new office visit is shown in the Data Section. Once a the visit is Saved it is added to the visit list for that day. Any student in the list can be clicked on to record additional information about that student’s office visit.

Once all visit information has been fully entered the visit can be marked as “Complete” so that the student will no longer show up in the list. This will help to make the list more manageable, giving the ability to easily determine which students still need their visit information completed. To mark a visit as complete, click the Check as Complete box in the Data section and then save the visit.

You can choose to view all visits for a day or only those visits that are not yet complete.

 

Review View

The Entry View will only show office visits for the current day. Use the Review View to show historical office visits. Enter any date at the top of the view and select Show. This will show all office visits for that date. The same pop-up menu on the Entry View to Complete and Delete office visits is also available on the Review View. The Show Uncompleted filter can be used to only show the office visits that have not been completed. Any student in the list can be clicked on to record additional information about that student’s office visit.

Schedule Visits - Students

The Schedule Visits View gives the user the ability to easily schedule one or more office visits in advance for individual students or to schedule screenings for classes. To schedule an office visit:
  1. Use the Student drop down list to select the student being schedule.
  2. Specify the date and time of the first office visit.
  3. Specify the date of the last office visit.
  4. Specify how often the visits need to take place (every x number of hours or minutes).
  5. Specify the reason for the office visit, giving details if needed.
  6. Click Show Visits to show the visits you want to create.
  7. Then click Create Visits on the next screen to create the visits.

Note: There is nothing special about scheduled office visits. They are simply office visits that have a Visit Date/Time in the future. If only one office visits needs to be scheduled it would probably be easier to do this from the Entry View. Just select the student and change the visit date or time to a future value. The Schedule View is designed for fast entry of multiple schedules. For example, if a student needs to be given medicine every four hours for the next five days this view will allow these office visits to be created quickly. Another example is if you have a student that needs to have their Blood Sugar Level tested many times throughout day; every office visit could be scheduled in advance, giving an easy reminder of future visits.

 

Schedule Visits - Class Screenings

The Schedule Visits view also allows you to schedule Screenings for Vision and Hearing for homeroom classes at one time. To schedule a screening:
  1. Select the Homeroom class from the drop down list.
  2. Select the date and time the class is to report for the screening.
  3. Check to box to select all of the students in the class or check the boxes for individual classes.
  4. Click Create Visits.

 

Student View

The Review Student View provides a way to view all office visits for one student. Select a student using the Student drop down list. The list is populated with all the office visits for the student. View the detail of each visit by highlighting a row. Select the “Print Visit List for this student” to print the visit information.
